What is collected

Nothing is collected unless you fill in and submit one of the two forms on this site. The two forms collect different information.

The contribution form

A contribution submission records your first and last name, residential street address, city, province, postal code, email address and the contribution amount, together with your phone number if you choose to give one. The record also holds the confirmations you check on the form, a contribution reference, the payment status the campaign updates as the e-Transfer is processed, and whether the campaign's email to you was sent successfully.

The Municipal Elections Act requires the candidate to record this information for every contribution. Contributions totalling more than $100 to this campaign may result in the contributor's name and address appearing in the candidate's publicly filed campaign financial statement. The threshold applies to the total a contributor gives over the campaign, not to any single contribution. That statement is filed with the Town of Oakville and is a public document.

The signup form

A signup submission records which of the four options you chose, your first and last name, and your email address. A phone number, a street address, a postal code and a message are optional and are stored only if you enter them. A lawn sign request needs the street address and postal code, because the sign has to be delivered somewhere.

This information is used to contact you about what you signed up for. The campaign does not send an acknowledgement email when a signup is submitted.

Recorded by both forms

Both forms record the date and time of the submission and whether the spam check passed. Both also store a one-way hash of the IP address the submission came from, which is used to limit how many submissions one address can make. The IP address itself is not stored.

The contribution confirmation page holds your reference and amount in your own browser's session storage so it can display them, and clears them once it has. That copy stays on your device.

Who can see it

The candidate and the official agent. Submissions are stored in the campaign's database and read through an administrative interface that verifies a signed identity assertion on every request, so an account authorized by the campaign is required to reach any of it. Contribution information is also reported to the Town of Oakville as described above.

Other services involved

• Cloudflare hosts this site and its database, and provides the Turnstile spam check that both forms use. Requests to this site pass through Cloudflare.
• After a contribution is submitted, the campaign sends the e-Transfer instructions to the email address you gave, over SMTP through its email provider.
• These pages load fonts from Google Fonts and a styling toolkit from a public code CDN, so your browser requests files from those hosts when a page loads. Nothing you type into a form is sent to them.

This site runs no analytics and no advertising or tracking scripts, and sets no cookies of its own.

How long it is kept

• Campaign financial records, which include every contribution record, are kept for as long as the Municipal Elections Act requires.
• Signup information is deleted at the end of the campaign period.

Asking what is held, or to be removed

Signup information can be removed on request. A contribution record cannot, because the campaign is required to keep and report it; a request about a contribution will be answered with what is held and what the reporting requirement covers.
